Why almost every company pays for lines nobody uses, how to spot them on the invoice and in the inventory, and what process stops them from coming back.
Ask any IT manager how many mobile lines the company has. Most likely you will get a rough figure. Now ask how many of those lines have been used in the last three months. Usually the answer is silence.
Unused lines are one of the quietest costs on the telecom bill. They do not raise tickets or complaints: they simply bill their monthly fee, month after month.
No company decides to pay for lines it does not use. They get there through processes that break somewhere:
The clearest sign is a line that bills a fee but has no usage: no calls, no data, no messages for several months in a row. To see it you need the itemised invoice per line, not the summary.
One month without usage might be a holiday. Three months in a row rarely is.
Compare billed lines with your inventory of assigned lines. Those that appear on the invoice but have no assigned user are prime candidates for review.
If a line is assigned to someone who no longer appears as active in Active Directory or on the payroll, it is almost certainly surplus.
Data lines tied to devices (not people) are the hardest to control, because nobody "misses" them. Pay special attention to equipment that has been replaced or retired.
Not every line without usage is surplus. Some have a legitimate purpose even if it does not look like it:
So the right process is: detect, verify with the owner and only then cancel. And record the decision, so you do not review the same line again next month.
Acme Logistics reviews its invoice and finds a line with no usage for four months. The inventory shows it assigned to ana.ejemplo, who left the company six months ago. Her former manager confirms nobody uses the line, the cancellation is processed and the reason is recorded. Had the line been cancelled on her last day, the company would have saved six months of fees.
Finding unused lines is half the job. The other half is making sure they do not pile up again:
EPItoolbox keeps a single inventory of lines, devices and users across all your carriers, synchronised with your MDM and Active Directory. On top of that inventory, it:
You can see how the inventory works on the platform page. And to go a step further, Telecom invoice audit explains how to review the rest of the invoice.
